Volunteer roles:

Registration Desk:

  • Pre-conference set-up:
    • Put up signs
    • Assist displayers with set-up
  • Provide registrants with name tags/programs/tote bags etc.
  • Provide general information
  • Process payments as needed


  • Greet/host/introduce presenters
  • Thank speakers and present with gift
  • Track time, provide warnings as needed
  • Take notes of presentation and discussion
  • Monitor room capacity and take number counts
  • Distribute and collect evaluation forms

Room Monitor:

  • Ensure rooms are setup as per request
  • Ensure water is available for presenters
  • Monitor room capacity and take number counts
  • Distribute and collect evaluation forms

Greeter/Hall/Meal Monitor:

  • Welcome registrants, speakers, guests
  • Assist with directions and general questions
  • Monitor halls in between sessions
  • Provide direction as needed
  • Ensure smooth flow
  • Monitor special diet plates
  • Clean-up if necessary
  • Communicate with venue staff as needed
